Position: Admin Assistant
Summary of primary job functions
This employee fulfills receptionist duties, provides administrative support to the Board of Directors.
Duties and responsibilities
General
• Answers incoming calls on the office main line. Deal with inquiries and re-directs calls appropriately
• Initiates outgoing calls as required
• Collects and distributes incoming email
• Handles communication on by telephone, social media, website and email.
• Is responsible for photocopying and all filing
• Attends meetings when requested by the Board of Directors
• Participates in maintaining a binder of current administrative procedures
• Maintains and keeps the HFC office clean and neat.
• Ensures that office supplies are ordered and purchased.
• Maintains chronological files of all incoming and outgoing email
• Archives files
• Host events or HFC monthly space bookings
• Receives payment or donations of cash and in-kind
• Directs cash, and in-kind receipts to HFC's bookkeeper or Board of Directors for recording in database
• All other tasks required for the smooth and efficient running of the office
Qualifications
• Good organizational skills, preferably with a background in the Arts or Entertainment.
• Ability to flex time as required
• Clear criminal record check
• Requires personal vehicle
• Excellent Computer Skills: Proficient in Microsoft Office, Google Docs
• Social Media Savvy
Hours of Work
• Flexible hours. Create your own schedule.
• Minimum of 3 days a week of 2-3 hours being present at the office for HFC related work.
• Must be available during HFC scheduled events

Position: Executive Director
Responsible to:
Board of Directors
Summary of primary job functions
The Exec. Director is responsible for establishing and executing major goals and objectives for HFC. Implements policies established by the board of directors. Provides leadership, direction, and guidance of Organization’s activities. Analyzes and evaluates the effectiveness of all organization operations. Develops and maintains an organizational structure and effective personnel or volunteers. Coordinates major activities through subordinates and appraises assigned personnel or volunteer. Represents the Organization to regulatory bodies, other agencies, community and civic organizations, donors, funders and supporters, and the general public.
Duties and responsibilities
General
• Acts as the spokesperson for organization
• Executes board-approved policies
• Directs and oversees short and long-term strategic plans
• Attends Board Meetings
• Maintains a competent and effective managerial/volunteer staff
• Provides leadership to organization personnel through effective objective setting, delegation, and communication
• Conducts staff-volunteer meetings to disseminate pertinent information
• Coordinates and directs staff-volunteers
Administration
• Ensures administrative staff remains current to organization business and Board directives/approvals that affect their functions and areas of responsibility
• Works with the Board of Directors on governance policy issues by providing support and by initiating approved recommendations or actions
• Ensures compliance with minimum standards in accordance with all government legislation, regulations and guidelines pertinent to the organization’s role as an employer and non-profit agency
• Recommends to the Board changes to policies and procedures that would improve the organization
• Maintains an effective and cost-efficient office environment
• Develops, maintains, and updates job descriptions pertinent to the organization
• Determines staff training and/or equipment needs of clerical and administrative employees, taking into account annual budget allocations
• Submits all information, reports, and records as requested or required by law to appropriate government officials or the board of directors
• Develops and implements operational plans, policies, and goals that further strategic objectives
Financial
• Maintains full awareness of the complete financial, statistical, and accounting records of the organization
• Ensures that operating results established in the annual budget are achieved and the control of operating expenses within budget
• Ensures the accuracy, integrity, and timeliness of all financial accounting and reporting
• Signs all checks with board approval
• Ensures the preparation of the annual budget for board approval
Qualifications
An individual who has an innate sense of altruism, reliability and shares the vision and mission of HFC, preferably with a background in the arts or entertainment industry. Has good organizational skills, social skills, and a problem solver. Has leadership experience, and preferably has knowledge or experience in grant writing. Must have good written, verbal, and computer skills. Willing to commit to the job for at least a year.
